Payment Upgrade Framework · Sherina + Feon + John

From Monthly Billing to Annual Security

A step-by-step system to move every parent from monthly payments to term, half-year, or annual — without discounting, without pressure, and without losing trust.

🧠

Mindset First

Sherina's Core Shift

Pay $X for 4 sessions a month
→ "In this programme, your child gets exam readiness — from now to PSLE"

Stop selling lessons. Start selling outcomes.

Feon's Core Shift

Worry about filling slots
→ Lock in commitment. Don't discount — add value instead.

Annual = you can plan properly. Monthly = you're always chasing.

💡 Ask yourself: Why do I deserve to collect upfront? What value can I demonstrate? How confident am I in my programme delivery? Answer these first — then the conversation with parents becomes easy.
📊

The 4-Tier Payment Structure

TierFrequencyIncentiveBest For
Monthly
Full price
Every month Flexibility only New parents, trust-building
Term (3 months)
5–10% off
Every term 5–10% off or locked rate After first term of good results
Half-Year (6 months)
10–12% off
Twice a year 10–12% off + priority scheduling Mid-year upgrade, P5 → P6
Annual (9–12 months)
15–20% off + bonuses
Once a year 15–20% off + all holiday workshops free Committed families, exam year
💡 Feon's rule: Don't give a discount. Give free workshops instead. A 3-day holiday workshop at $150+ is worth more than a 10% discount — and it locks them in further.
🪜

How to Upgrade Each Parent

Phase 1 — Start on Monthly (Month 1–2)
1

Let New Parents Start Monthly

Don't push for annual upfront. Parents need to experience your teaching first. Monthly is the entry point, not the destination.

2

Set Up Recurring Payment From Day 1

Use Stripe, PayNow auto, or Enrolify. Make billing automatic — not manual invoicing every month. Less admin for you, seamless for them.

3

Get Them to Sign a Term Agreement

Monthly is the payment method, not an exit door. They commit to the term. You commit to the programme. Both sides are protected.

Phase 2 — The 60-Day Upgrade Window
4

State the Upgrade Window in the Agreement

"You have 60 days from today to upgrade to term payment at the current discounted rate. After 60 days, this offer is no longer available."
5

Calculate the Top-Up When They're Ready

Term rate minus what they've already paid = top-up amount. They pay it on the same day. Cancel the monthly link, send a new term recurring link.

Example: Monthly rate $500/mth · Term rate $1,350 (3 mths)
After Month 1: Top-up = $850 · After Month 2: Top-up = $350
6

If They Stay Monthly Past 60 Days — That's Fine

They end up paying more in total. Either way works for you. The 60-day window creates urgency without pressure.

Phase 3 — The Best Upgrade Windows
Window 1

After Month 1 — Early Momentum

"[Child's name] has made a really good start. If you'd like to plan the rest of the term together, I can lock in the term rate for you now — it's a saving of $X versus monthly."
— Feon's approach
Window 2

After a Good Test or Report Card

"The results are showing. I'd love to plan the next phase properly with [child's name]. The half-year package means I can map out a full roadmap — want me to share the details?"
— Sherina's approach
Window 3 · Golden

June Holidays — Critical Period

"Since [child] is going into P6 next year, I want to plan the full journey — all the way to PSLE. The annual package means all holiday workshop slots are reserved, and I can customise as we go."
Sherina's insight: Low rejection rates here — parents see Jan–May results and trust is established.
Window 4

Before PSLE / O-Level Year

"Exam year is when consistency matters most. I'd like to make sure [child's name] has a guaranteed spot and a clear plan from January to the exam. The annual package locks that in."
Window 5

October/November — Annual Renewal

"It's been a great year with [child's name]. I'm planning my slots for next year now — I'd love for them to continue. If you renew before December, the rate is locked at this year's pricing."
Target: 80% renewals before December. Your best December = financial security + a full January.

Show Parents the Annual Roadmap

💡 Sherina's key insight: Parents pay for annual when they can see what they're buying. Show them the full journey — not just next month's lesson.
PeriodFocus
Jan – MayComplete syllabus, focus on school WA performance
June HolidaysComprehensive revision based on WA results
July – AugustIntensive drilling and exam question practice
SeptemberFinal revision and exam preparation
Post-examAnalysis, celebrate, prepare for next level
🗣️ "You're not paying for lessons. You're buying exam readiness — a clear pathway from now to the day [child's name] walks into the exam hall feeling confident."
🎁

What to Include in Annual Packages

All holiday workshops included free
Recorded lesson library access
Extra worksheets and materials
Priority rescheduling — slot protected
Head start workshop for next academic year
Progress tracking summary every term
Pre-exam intensive session (online booster)
Extended Nov–Dec sessions (3 × 2.5hrs vs 6 short)
💬

Handling Common Parent Responses

"Can I just stay monthly?"
"Absolutely. Monthly gives you full flexibility. Just so you know — the monthly rate is at full price. The discounted rate is only available on term or annual packages."
"It's a lot to pay upfront."
"Totally understand. We can do term payments — you pay once every 3 months instead. It's $X per term, which works out to less than monthly. Want me to set that up?"
"Let me see how the first month goes."
"Of course — that's completely fair. I'll just let you know that the upgrade rate is locked for 60 days from today. After that, I can only offer the standard monthly rate. No rush at all."
"We might need to stop if results don't improve."
"I hear you. That's why I build a roadmap upfront — so we both know exactly what we're working toward each month. If after the first term you feel it's not the right fit, we can part on good terms. But let's give it a proper run so [child's name] can really benefit."
🔢

Know Your Numbers First

📐 Calculate before you offer any package: Total annual hours needed (typically 100–110hrs per student) · Factor in 10% overtime · Maximum sustainable discount · What monthly × 12 looks like vs your annual rate — annual should still net you more, not less.
Payment TierTypical DiscountCash FlowAdmin Load
MonthlyNone (base price)UnpredictableHigh — bill every month
Term (3 mths)5–10% offPredictable per termMedium — bill 4× a year
Half-Year10–12% offStableLow — bill twice a year

📅

Implementation Timeline

M1

Month 1 — Prepare

  • Audit current payment structure — who is monthly, who is term
  • Create annual curriculum roadmap for each level you teach
  • Write your T&C document (withdrawal, makeup, emergencies)
  • Calculate your pricing for each tier
M2–3

Month 2–3 — Soft Launch

  • Start with your most trusted existing clients (P5 → P6 is ideal)
  • Offer the upgrade conversation using the scripts above
  • Test the June-to-exam window — lowest resistance, highest trust
  • Refine roadmap presentation based on parent questions
M4+

Month 4 Onwards — Full System

  • All new clients start on monthly with 60-day upgrade window in their agreement
  • All existing clients offered annual renewal in October/November
  • Holiday workshops positioned as the key annual package incentive
  • Track who upgrades, when, and from which trigger — refine accordingly

Core Principles

Sell outcomes, not hours — parents buy exam readiness, not lesson count
Don't discount — add value. Free workshops beat a 10% price cut every time
Monthly is the entry, not the destination — every monthly parent is an upgrade candidate
The 60-day window creates urgency without pressure — use it in every agreement
June is your golden window — low resistance, high trust, real urgency
Plan for your own students first — new students are a bonus, not a baseline
Recurring beats one-time — the goal is an active subscription, not a lump sum
Admin freedom = teaching freedom — annual billing gives you your energy back
"Parents chose you over other options. Honour that trust — and give them the structure that lets you serve their child properly for the whole year."
— Sherina · Product Architect Coaching
