When a Parent DMs You — Start Here

A parent reaching out after your webinar is already warm. The biggest mistake tutors make is immediately sending a link. Don't. Start with a human conversation first.

Mindset anchor People are so used to being sold to. A human response — not a link — is what makes you stand out. They don't want a product. They want to know you can help their child.
Step 1
Reply like a human, not a bot
Turn off any automated responses. Send a personal reply the moment you see their message. Do not send the registration link yet — a link at this stage feels cold and transactional. You're opening a conversation, not closing a sale.
→ No automation. No link. Just a warm, real reply.
Step 2
Ask about their child first — listen before you pitch
Before you say anything about your programme, ask one of these opening questions:
"What level is your child in?"
"What's your child struggling with most right now?"
"How long has this been a challenge?"
→ Their answer tells you exactly how to position your offer
Step 3
Qualify and connect — ask 2–3 genuine questions
Understand their child's grades, challenges, and goals. Not to screen them out — to show you actually care. When a parent feels genuinely heard, they stop comparing you to other tutors. You become the one who "gets it."
"What does a typical study session at home look like?"
"What result would make this worth it for your child?"
"Have you tried anything else before this?"

Warm Them Up — Then Send the Link

A warm lead converts. A cold one ghosts. Once the parent feels heard and understood, they're ready. Only then do you share the link — it lands completely differently.

The order matters Connection first, link second, reminders third. Skipping connection means your link goes unclicked. Most tutors skip the connection — that's why they get ghosted.
Step 4
Send a pre-frame video (if you have one)
A short 2–3 minute video explaining what your session or workshop covers builds enormous trust before any commitment is made. Especially powerful when they came from an ad and don't know you yet. It's you being you — no production needed, just clear and genuine.

Step 5
Send the registration link only after connection is made
Once they feel heard and you've answered their questions, share the link naturally — not as a broadcast, but as a next step in the conversation. Something like: "Based on what you've shared, I think this would really help [child's name]. Here's how to secure a spot:"
→ Warm context + link = conversions. Cold link = silence.
Step 6
Send 2–3 reminders before the appointment
Parents are busy — not uninterested. A reminder 2 days before, then again the day before, reduces no-shows significantly. Keep the tone warm and helpful, not chasing.
2 days before: "Just a reminder — [workshop name] is on [date] at [time]. Looking forward to seeing you there!"
1 day before: "See you tomorrow! Here's the Zoom link: [link]. Any last questions? I'm here."

After the Session — Don't Go Quiet

Most sales happen after the silence, not before. A gentle nudge after 2–3 quiet days is not pushy — it's a service. And a happy parent's review is your best-ever ad.

Most parents just need a second prompt They're not saying no — they're busy, distracted, or on the fence. One warm follow-up message reopens the conversation. Most tutors go quiet too early. Don't.
Step 7
Follow up after 2–3 days of silence with a gentle nudge
If a parent has gone quiet after showing interest, send one warm follow-up. Mention any real urgency (early bird closing, spots filling). Don't send a copy-paste blast — personalise it with their child's name or what they shared with you.
"Hi [Name], just checking in — were you still considering [workshop name] for [child's name]? We have [X] spots left and I wanted to make sure you didn't miss out. Happy to answer any questions 🙏"
Step 8
After the session, ask every happy parent for a Google review
One real review on your landing page or Google profile is worth more than any graphic or ad. Ask within 24 hours of the session ending — while the experience is still fresh. Make it easy: send them the direct review link.
→ Happy parents become your best marketing

The most powerful leads you'll ever get don't come from ads — they come from a parent who already trusts you telling their friend. One warm word from a happy parent is worth ten cold enquiries. This is the actual "Invite" in the Invite module.

The best time to ask is right after a win When a parent says "my child really enjoyed that" or "I can already see a difference" — that's your moment. They're emotionally present and goodwill is at its peak. Don't wait for later. Later never comes.
Step 9
Ask your best parents to refer one friend — the warm introduction
Don't broadcast a generic "please refer a friend" message to everyone. Pick your top 2–3 parents who already speak positively about you. Ask them privately and personally — it feels very different to a group blast. The ask itself is simple:
"Hi [Name], I'm glad [child's name] has been doing well 😊 I'm opening a few new spots soon — is there any parent in your network who you think would benefit from this? Even one name would mean a lot."
→ One name from a trusted parent is worth more than 20 cold leads
Step 10
Make it easy — give them the exact message to forward
Most parents want to help but don't know what to say. Remove that friction completely. Send them a ready-to-forward message they can paste straight into WhatsApp:
"Hey! My child has been attending [tutor's name]'s sessions and honestly it's been really good. She/He has a few spots opening soon if your child needs help with [subject]. Want me to connect you?"
→ You write it once. They send it with one tap.
Step 11
Close the loop — follow up with the referred parent the same way you would any enquiry
When a referred parent reaches out, treat the referral like gold. Mention it naturally: "Sarah mentioned you were looking for help with your child's English — that means a lot." It immediately lowers their guard. They already trust you a little because a friend trusts you. Use that. Go consultative from there.
→ Referred leads convert at 3–5× the rate of cold ones

Send this to everyone who attended but didn't register. Wait for their reply, then go consultative from there — ask about their child, understand their situation, then guide them to the next step.

After they reply — go consultative Ask about their child. Understand their situation. Then guide them naturally toward the next step. The DM is just the door opener — the conversation is where trust is built.
